Definition

Under direction, supervises a group of employees who operate varied, common office machines/appliances used in the development, production, and assembly of forms, booklets, and assorted graphic material and/or acts as the second in charge of a major unit; does other related duties as required.

Examples of work

  • Plans and schedules work projects approved by the executive officer.
  • Organizes supervisory and technical work, and develops effective work methods.
  • Plans, organizes, and assigns work of the organizational unit and evaluates employee performance and conduct, enabling the effective recommendation of the hiring, firing, promoting, and/or disciplining of subordinates.
  • Assigns and instructs employees, and supervises the performance of their work.
  • Draws, drafts, sketches, and otherwise prepares layouts for forms, posters, leaflets, booklets, and other graphic material.
  • Operates, adjusts to job requirements, and performs routine maintenance on various, common office appliances.
  • Operates collators, cutters, stapling machines, folding machines, punching machines, and/or paper drills.
  • Maintains inventory records of supplies of stationery, inks, and other materials, and orders additional supplies as needed.
  • Maintains records of the volume and type of completed material produced by the unit.
  • Confers with the supervisor on problems relating to the propriety, volume, or design of work projects, on problems relating to acquisition of new materials or equipment, and on problems relating to personnel or other administrative matters.
  • Acts in place of the supervisor in his or her absence.
  • Maintains necessary records to requisition supplies.
  • Will be required to learn to utilize various types of electronic and/or manual recording and information systems used by the agency, office, or related units.

Experience

Two (2) years of experience in work involving the operation of office appliances.

License

Appointee will be required to possess a driver's license valid in New Jersey only if the operation of a vehicle, rather than employee mobility, is necessary to perform essential duties of the position.

Knowledge, skills and abilities

  • Knowledge of the operation, adjustment, repair, and maintenance of various, common office appliances.
  • Knowledge of the types and qualities of inks and stationery which are used in the various processes.
  • Ability to organize the work of the unit and to supervise and instruct subordinate employees.
  • Ability to carry out simple drawing and drafting problems and to design forms.
  • Ability to organize the reproducing, folding, stapling, and cutting processes required in the production of forms, leaflets, booklets, and other graphic material.
  • Ability to keep extensive records and files.
  • Ability to prepare reports.
  • Ability to perform the accompanying clerical duties.
  • Ability to learn to utilize various types of electronic and/or manual recording and information systems used by the agency, office, or related units.
  • Ability to read, write, speak, understand, and communicate in English sufficiently to perform the duties of this position. American Sign Language or Braille may also be considered as acceptable forms of communication.
