Definition
Under direction, ensures that correct supplies are shipped by vendor on promised shipping date and arranges for its proper distribution; reviews vendor's invoice for accuracy; does other related duties.
Examples of work
- Receives requests for items to be added to bid list.
- Prepares work sheets used in preparing bid lists.
- Checks inventory of available supplies for issue and items open on bid list.
- Reconverts units of issues into case lots, dozens, and pounds for ordering.
- Reports bids assigned to vendors.
- Checks specifications or substitutions and records any changes.
- Receives contract acceptance sheets from purchasing agent.
- Compares acceptance sheets with bid list and notifies purchasing agent of discrepancies.
- Prepares master order in book, listing all items assigned to each vendor by item, price, and code.
- Removes inventory cards.
- Checks minimum balance and submits items that are below minimum balance.
- Notifies purchasing agent on items for which no bids were submitted; for items depleted due to excessive use or for new items requested after bid list submitted.
- Contacts vendors daily to expedite shipments.
- Selects sample patterns submitted by vendors for approval.
- Maintains a daily log of incoming supplies.
- Places orders in emergencies.
- Adjudicates complaints.
- Records funds received, and notes whether partial or final shipment.
- Extends price and reconverts amount received into units of issue.
- Records information on receiving report.
- Answers inquiries related to supplies.
- Maintains records and files.
- Will be required to learn to utilize various types of electronic and/or manual recording and information systems used by the agency, office, or related units.
Experience
Two (2) years of experience involving the receiving, checking, and distributing of supplies.
License
Appointees will be required to possess a driver's license valid in New Jersey only if the operation of a vehicle, rather than employee mobility, is necessary to perform essential duties of the position.
Knowledge, skills and abilities
- Knowledge of problems, procedures, and practices involved in ensuring that supplies are shipped by vendor on promised shipping date and in arranging for proper distribution.
- Ability to perform expediting work under a variety of circumstances.
- Ability to keep records and files.
- Ability to utilize various types of electronic and/or manual recording and information systems used by the agency, office, or related units.
- Ability to read, write, speak, understand, and communicate in English sufficiently to perform duties of this position. American Sign Language or Braille may also be considered as acceptable forms of communication.
