Definition

Under direction of a Technical Assistant 1, Higher Education or other supervisory official, is responsible for performing duties related to statistical, fiscal, analytical, and interpretive activities within specified limits, up to and including the making of recommendations for taking action; may take the lead in a small group of paraprofessionals and/or clerical employees; does other related duties as required.

Examples of work

Within a defined area of activity, may compile data on which recommendations may be made by the supervisor. Reviews and evaluates written material, and makes preliminary recommendations as to proper handling of an issue. Answers routine inquiries for information or clarification of information by letters or memoranda which is not reviewed by the supervisor. Supervises clerical personnel and trains them in the procedures of the unit. Supervises work operations and/or functional programs and has responsibility for employee evaluations and for effectively recommending the hiring, firing, promoting, demoting, and/or disciplining of employees. May develop work procedures to ensure smooth processing of materials. Checks and verifies data gathered by subordinate personnel for accuracy and completeness. Prepares statistical data for incorporation into data processing systems. Initiates inquiries and requests for clarification when inaccurate or incomplete data are identified. Does file research and prepares finished reports or provides data on which professional staff may base reports. Takes minutes of meetings. Maintains essential records and files. Will be required to learn to utilize various types of electronic and/or manual recording and information systems used by the agency, office, or related units.

Education

Completion of 30 semester hour credits at an accredited college or university.

Experience

Two (2) years of experience in work involving the review, analysis, and evaluation of written material.

License

Appointees will be required to possess a driver's license valid in New Jersey only if the operation of a vehicle, rather than employee mobility, is necessary to perform essential duties of the position.

Knowledge, skills and abilities

Knowledge of clerical and stenographic requirements of a professional unit, and familiarity with scheduling techniques which can be used during periods of heavy loads and with establishment of deadlines after a period of training. Ability to apply rules, regulations, policies, and procedures established for the preparation of correspondence, reports, memoranda, and other documents. Ability to instruct clerical and stenographic employees and supervise the performance of their work. Ability to establish deadlines. Ability to utilize office routines, procedures, and techniques in processing large volume correspondence. Ability to train clerical and other staff members to ensure prompt, efficient work flow. Ability to assign and instruct clerical employees and check their work. Ability to prepare reports. Ability to maintain essential records and files. Ability to learn to utilize various types of electronic and/or manual recording and information systems used by the agency, office, or related units. Ability to read, write, speak, understand, or communicate in English sufficiently to perform the duties of this position. American Sign Language or Braille may also be considered as acceptable forms of communication.
