Definition

Under the direction of a supervisor of official in the Department of State, performs highly complex technical, or paraprofessional duties and/or takes the lead overseeing individuals supporting and relieving the professional staff of routine tasks and duties; does other related duties as required.

Examples of work

  • Attends formal and informal training sessions to learn new procedures, methods and practices used by the unit in order to achieve desired goals.
  • Conducts the day to day business of the unit by responding to routine inquiries from visitors, correspondence and telephone calls.
  • Participates in the preparation of regular and special reports and routine and customized correspondence.
  • Coordinates the gathering, compiling, assembling, analyzing, and interpreting of data required by the supervisory officer or professional staff in completing assigned tasks.
  • As directed, coordinates, and undertakes support service activities associated with regular and special meetings, programs, seminars and presentations.
  • Enters information provided by professional staff onto forms or into databases, by manual and/or electronic means.
  • Functions, when assigned, as liaison to groups and organizations interested in various divisional programs and services.
  • Participates in the survey of office needs with regard to equipment, materials, and supplies.
  • As assigned, takes the lead in training, assigning, reviewing, and approving routine and special work assignments.
  • May serve as unit timekeeper responsible for the collection and transmission of attendance information by manual and/or electronic means.
  • Performs some personnel work of a sensitive or confidential nature including preparing correspondence and/or forms, photocopying, filing, etc.
  • Will be required to learn to utilize various types of electronic and/or manual recording and information systems used by the agency, office, or related units.
  • Maintains records and files.

Education

Successful completion of 60 semester hours at an accredited college.

Experience

Three (3) years of experience in the gathering, recording, and processing of technical data.

License

Appointees will be required to possess a driver's license valid in NJ only if the operation of a vehicle, rather than employee mobility, is necessary to perform essential duties of the position.

  • Ability to read, write, speak, understand, and communicate in English sufficiently to perform duties of this position. American Sign Language or Braille may also be considered as acceptable forms of communication.
