Examples of work
- Directs, organizes, supervises and coordinates the work of a word processing system.
- Gives appropriate assignments, instruction and supervision to word processing specialists; assigns and reassigns staff in accordance with classifications to assure completion of work to meet peak load and/or emergency periods.
- Processes employee personnel records, prepares letters and memoranda as required.
- Maintains daily input-output work log.
- Confers with the Manager, Word Processing System, or administrative officer concerning center work load and/or emergency periods.
- Carries out administrative assignments as required by Manager, Word Processing System or administrative officer.
- Participates in budget preparation and monitors expenditures.
- Prepares clear, accurate and informative monthly, annual and production reports detailing progress, scheduled activities and anticipated problems.
- Supervises the maintenance of essential records and files.
- Assists in the evaluation of new equipment and technology from the standpoint of operability and impact of job classifications.
- Reviews all authors' work requests, project specifications and specified deadlines to ascertain and assure the word processing staff can achieve the results sought; negotiates deadlines.
- Keeps abreast of latest word processing developments via seminars, periodicals, vendor conferences and meetings.
- Continually monitors machine and employee utilization; develops and implements effective work flow procedures.
- Develops EPEIS with each individual employee and evaluates employees accordingly.
- Supervises the work operations and/or functional programs and has responsibility for effectively recommending the hiring, firing, promoting, demoting and/or disciplining of employees.
- Evaluates training needs of word processing staff and authors.
- Reviews vendor billing to ascertain that it is in accordance with equipment or services rendered.
- Submits requests for training and/or provides on-the-job training.
- Ensures that all shifts are adequately staffed and that effective interfacing occurs between shifts.
- Recommends equipment and facility rearrangement to facilitate more efficient work flow and processing.
- Supervises system quality control system.
- Maintains essential records, reports and files.
Experience
Five (5) years of experience, three (3) years of which shall have been in the operation, technology and application of varied word processing equipment and two years of which shall have been in the supervision of a word processing or clerical unit,
License
Appointees will be required to possess a driver's license valid in New Jersey only if the operation of a vehicle, rather than employee mobility, is necessary to perform essential duties of the position.
Knowledge, skills and abilities
- Knowledge of and familiarity with word processing systems and concepts.
- Knowledge of and familiarity with the capabilities, techniques, and operation of various word processing equipment.
- Knowledge of modern office methods, systems and procedures.
- Ability to organize, direct assigned clerical and supervisory work, analyze the problems arising therein and develop effective work methods.
- Ability to assign and instruct clerical employees and supervise the performance of their work.
- Ability to function harmoniously with people within and outside the organization and to function effectively in interpersonal relationships.
- Ability to understand material of a technical nature containing rules, regulations, procedures and systems of the organization, to assimilate this material whether received in written or oral form and to transmit this material to subordinates in a non-technical, clear concise manner in both written and oral form.
- Ability to act quickly and make decisions under emergency conditions and to rearrange workload and reassign employees to meet revised schedules.
- Ability to understand and apply production systems techniques.
- Ability to interpret equipment and personnel utilization statistics and recommend and implement improvement where required.
- Ability to schedule employees effectively during peak periods.
- Ability to prepare clear, technically sound, accurate and informative reports containing findings, conclusions and recommendations.

- Ability to learn to utilize various types of electronic and/or manual recording information systems used by the agency, office or related units.
- Ability to read, write, speak, understand, or communicate in English sufficiently to perform the duties of this position. American Sign Language or braille may also be considered as acceptable forms of communication.
