Definition
Under direction of a supervising professional staff member in the Department of Education, performs the more responsible detailed clerical duties of client services related to instructional material circulation, individual item check-in, reshelving of materials, membership, reference, research, van delivery, and learning stations, up to and including frequent exercise of independent judgment and making technical recommendations for a material center project; does other related duties as required.
Examples of work
- Provides service within defined areas up to and including independent judgment and making of technical recommendations.
- Gathers/develops data for supervisory staff from which actions can be taken.
- Makes recommendations for action based on knowledge of policies/procedures and client suggestions and/or input.
- Solicits from clients (parents, professionals, paraprofessionals) their instructional material needs and van delivery requirements, and generates overall outreach strategy for resource center services.
- Coordinates daily van operations including selection and stocking of materials, material circulation, statistics, and overdues.
- Operates computer for project activities and direct client services.
- Loads and unloads materials/equipment with a minimum weight of ten pounds.
- Provides assistance to clients in the appraisal, selection, and review of instructional materials, research and/or production of learning centers.
- Personally provides a responses to inquiries for information to onsite clients, and phone/written inquiries regarding project services, workshop offerings, materials, bibliographies, mailing lists, catalogues, membership, and orientations.
- Gathers and arranges financial, statistical, and other data for generation of required state/federal reports.
- Checks and verifies data for accuracy/completeness.
- Follows through on all projects assigned through completion.
- Prepares drafts of reports including recommendations.
- Develops job described records, charts, or other visual devices.
- Provides and reviews maintenance of records and files.
- Reviews, checks, and certifies reports, application forms, and other documents when technical determinations are required.
- Will be required to learn to utilize various types of electronic and/or manual recording and information systems used by the agency, office, or related units.
Experience
Three (3) years of experience in library work in a library or resource center or client service related field.
License
Appointees will be required to possess a driver's license valid in New Jersey only if the operation of a vehicle, rather than employee mobility, is necessary to perform essential duties of the position.
Knowledge, skills and abilities
- Knowledge of rules, regulations, policies, and procedures of the Department of Education as established for the preparation of correspondence, reports, memoranda, and other documents after a period of training.
- Knowledge of education materials, resources, and programs.
- Ability to evaluate the instructional material needs of clients.
- Ability to work independently.
- Ability to communicate/interact with a wide variety of people; for example, professionals in the department and in other agencies, local school systems, citizens, and pupils.
- Ability to maintain records and files.
- Ability to develop effective work methods.
- Ability to organize statistical information.
- Ability to maintain a flexible work schedule including evenings and Saturday work.
- Ability to utilize various types of electronic and/or manual recording and information systems used by the agency, office, or related units.
- Ability to read, write, speak, understand, and communicate in English sufficiently to perform duties of this position. American Sign Language or Braille may also be considered as acceptable forms of communication.
