Definition
Under direction in the Division of Archives and Records Management, Department of State, is responsible for managing one or more functional units of the New Jersey State Archives; does other related work. NOTE: The examples of work for this title are for illustrative purposes only. A particular position using this title may not perform all duties listed in this job specification. Examples of work
Supervises professional and para-professional staff involved in one or more of the major functions of the State Archives. Supervises the scheduling, assignment and progress of work. Allocates fiscal resources, equipment and supplies. Supervises the maintenance of appropriate storage environments and security levels of historical material; provides recommendations for conservation and preservation microfilming priorities. Supervises the preservation, handling, care and maintenance of historical materials of the State Archives. Supervises the collection and reporting of budgetary and statistical information. Prepares or supervises the preparation of, research, correspondence, reports, and grant applications. Plans, organizes, and assigns work of the organizational unit and evaluates employee performance and conduct, enabling the effective recommendation of the hiring, firing, promoting, and disciplining of employees. Represents and directs staff to represent the State Archives in public forums, including presentations, conferences, workshops, tours, and other events: participates in the planning and organization of State Archives events, or a statewide or national event in which the State Archives is involved. Provides consultation and advice to other government agencies and the public regarding archival collections and services. Prepares correspondence. Prepares reports containing findings, conclusions and recommendations. Develops and/or acquires written, printed, visual, electronic or other media and resources to enhance and improve access to materials held by the State Archives, or relating to the history of New Jersey; recommends and/or participates in the acquisition, programming and creation of software or other electronic records to provide or improve access to information about the State Archives and its holdings. Supervises the establishment and maintenance of essential records and files. Will be required to learn to utilize various types of electronic and/or manual recording and information system used by the agency, office, or related units.
Education
Graduation from an accredited college or university with a Master's degree in history or library science.
Experience
Four (4) years of experience as an archivist in a historical agency or historical library engaged in research, reference, writing and/or publication, or the planning of public exhibitions or other public programs, two (2) years of which shall have included supervisory or administrative duties.
License
Appointees will be required to possess a driver's license valid in New Jersey only if the operation of a vehicle, rather than employee mobility, is necessary to perform the essential duties of the position.
Knowledge, skills and abilities
Knowledge of archival standards, principles and techniques. Knowledge of the care and preservation of records, and the establishment and use of retention and disposal schedules. Knowledge of current conservation theory and practice. Ability to read and interpret historical information. Ability to understand and interpret historical records and publications, and to relate them to archival holdings. Ability to provide appropriate assignments and instructions to individuals and groups of employees, and to supervise the performance of their work. Ability to supervise the preservation, handling, care and maintenance of historical materials. Ability to develop written, visual, electronic and other resources to interpret, publish and/or provide access to archival materials. Ability to work effectively with staff and others interested in, or concerned with, legal, historical, or other issues relating to public records in New Jersey. Ability to prepare detailed and technical correspondence. Ability to prepare clear, technically sound, historically accurate and informative statistical and other reports, containing findings, conclusions and recommendations. Ability to utilize various types of electronic and/or manual recording and information systems used by the agency, office, or related units. Ability to read, write, speak, understand, and communicate in English sufficiently to perform duties of this position. American Sign Language or Braille may also be considered as acceptable forms of communication.
