Definition

Under direction, performs highly responsible, varied transcription and clerical work and has charge of a large clerical unit; does other related duties as required.

Examples of work

  • Organizes assigned work and develops effective work methods subsequent to the establishment of the work program.
  • Reviews, checks, and certifies reports, applications, and other documents for correctness where difficult determinations are concerned.
  • Transcribes difficult dictation in addition to supervising and performing other duties and responsibilities.
  • Interviews and transacts business with persons who may call at the office.
  • May assist in the planning and/or revision of clerical procedures and office routines.
  • Receives, reviews and adjusts complaints.
  • Prepares requisitions.
  • Answers inquires.
  • Guides, instructs and assigns tasks.
  • Participates in, and is responsible for the work of staff.
  • Compiles data for budgets and reports.
  • Conducts special studies of certain operations and reports findings.
  • Handles correspondence, prepares reports and makes decisions requiring knowledge of the organization.
  • Maintains, classifies, indexes and cross references records and files.
  • Will be required to learn to utilize various types of electronic and/or manual recording and information systems used by the agency, office or related units.

Experience

Three (3) years of experience in transcription and clerical work, one (1) year which shall have been in a supervisory capacity.

License

Appointees will be required to possess a driver's license valid in New Jersey only if the operation of a vehicle, rather than employee mobility, is necessary to perform the essential duties of the position.

  • Knowledge of office methods, practices and equipment.
  • Ability to comprehend established office routines and rules and regulations of complexity.
  • Ability to organize assigned work and develop effective work methods.
  • Ability to give assignments and instructions to individuals and groups.
  • Ability to supervise the maintenance of essential records and files.
  • Ability to read, write, speak, understand, and communicate in English sufficiently to perform duties of this position. American Sign Language or Braille may also be considered as acceptable forms of communication.
