Definition

Under the direction of a Principal Audit Account Clerk, Clerk, or supervisory officer in a state department, institution, or agency, does routine clerical work relating to the review, verification, and preparation of financial records; does related work as required.

Examples of work

Reviews and checks financial documents and reports for mathematical accuracy, completeness, and propriety such as invoices vouchers, receipts, requisitions, benefit claims reports from field personnel, miscellaneous statements, reports, and certificates. Assists in reviewing and checking figures to establish liability for taxes, contributions, fees, penalties, and interest. Keep records of cash receipts and disbursements including petty cash. Prepares journal entries. Where it is required, on a sporadic basis, may do typing which uncomplicated does not require skill or speed, and which is of a nature reasonably to be expected of employees in a business office. Where it is required, on an infrequent basis, may use varied types of common office machines in temporary assignments where skill and speed are not primary requirements and special training is not necessary. Gathers material for and helps prepare summaries and reports based on data, information, and records maintained. Assists in maintaining such records and files as are required. Will be required to learn to utilize various types of electronic and/or manual recording and information systems used by the agency, office, or related units.

License

Appointees will be required to possess a driver's license valid in New Jersey only if the operation of a vehicle, rather than employee mobility, is necessary to perform essential duties of the position.

Knowledge, skills and abilities

Knowledge of business office equipment, procedures, and routine. Knowledge of the common books of accounts and of the procedures used in keeping financial records and in checking financial documents. Ability to make arithmetic calculations quickly and accurately by hand and by use of calculating machines. Ability to understand, remember, and carry out oral and written directions. Ability to learn prescribed procedures quickly from oral and written explanations and from demonstrations. Ability to make financial entries accurately and to check financial records prepared by others for accuracy, completeness, and propriety. Ability to do uncomplicated typing on a sporadic basis which does not require skill or speed. Ability to use varied common office machines, including calculating machines, in temporary assignments where skill and speed are not a primary requirement and special training is not necessary. Ability to compile materials for use in reports and summaries. Ability to help maintain necessary records and files. Ability to learn to utilize various types of electronic and/or manual recording information systems used by the agency, office or related units. Ability to read, write, speak, understand, or communicate in English sufficiently to perform the duties of this position. American Sign Language or braille may also be considered as acceptable forms of communication.
