Definition

Under direction, supervises staff and activities in a unit responsible for maintaining files of criminal records, classifying indictable offenses, and compiling pertinent statistical reports; does related work.

Examples of work

  • Organizes assigned work and develops effective work methods.
  • Provides suitable assignments and instructions to subordinates and supervises the performance of their work.
  • Maintains a current system for recording, filing, indexing, cross- referencing and classifying the records of criminal offenses referred to the Grand Jury.
  • Compiles various statistical reports on indictable offenses.
  • Selects or develops a suitable format for reports.
  • Contacts various police agencies to secure details on offenders and their crimes.
  • Reviews and interprets arrest records to secure pertinent data.
  • Supervises the safekeeping of statements and evidence utilized in criminal court proceedings.
  • May testify on the details of the criminal records on file.
  • Will be required to learn to utilize various types of electronic and/or manual recording and information systems used by the agency, office, or related units.

Experience

Three (3) years of experience in law enforcement or supervisory experience in clerical work.

Knowledge, skills and abilities

  • Knowledge of the methods used to safeguard and retrieve records.
  • Knowledge of filing procedures, methods and techniques.
  • Knowledge of the types of records which may be considered confidential.
  • Ability to organize work and develop effective work methods. Ability to provide suitable assignments to subordinates and supervise performance.
  • Ability to read and interpret criminal arrest records.
  • Ability to prepare or supervise the preparation of clear, accurate, informative reports.
  • Ability to utilize various types of electronic and/or manual recording and information systems used by the agency, office, or related units.
  • Ability to read, write, speak, understand, and communicate in English sufficiently to perform duties of this position. American Sign Language or Braille may also be considered as acceptable forms of communication.
